Customer service is the number one priority for this position. The front desk manages incoming/outgoing clients, their pets, visitors, telephone messages, and calls in a professional, efficient and cheerful manner. In addition, the front desk position has to perform various clerical duties, which support the presentation and operation of the hospital. As part of the hospital team, the front desk is responsible to adhere to all protocols in line with the hospital’s goals, strategy, procedures, and values. This position is fundamental to the hospital as it is the client’s first and foremost impression of our organization to clients.

Duties and Responsibilities

  • Answering the telephone, direct, screen calls, take and relay messages
  • Provide accurate information to callers
  • Schedule appointments for all hospital services
  • Greet clients and pets in a friendly, open manner
  • Ensure that clients are handled in a timely, efficient manner according to their appointment time, this includes incoming emergencies/acute patients or clients with time constraints
  • Provide general clerical, administrative, and accounting support
  • Maintain accurate client records by verifying the information on file and following hospital procedures for all clients checking in and out
  • Maintain the common areas of the office for cleanliness
  • Call to confirm upcoming client appointments
  • Follow up calls to clients after their appointment to ensure that their pet(s) is doing well following an appointment
  • Communication on any customer service issues with the manager so that they can handle the issue
  • Placing discharge patients in a room to speak with the doctor
  • Follow up on cremations
  • Mailing client reminders and sympathy cards

Education

  • High school diploma or GED equivalent
  • Experience in administrative or clerical activities
  • 1-2 years veterinary hospital experience a preferred
  • 1-2 years of Avimark experience preferred
